# Cold Outreach Sequence Templates (Newsletter Sponsorships)

The full message set from a working sponsorship outbound system, anonymized. Generic
voice: rewrite every line in yours before sending. Fill every [SLOT]. Delete any line
you cannot make true.

Design rules baked into these templates:

- Short. 60 to 110 words for the initial, shorter for follow-ups. Nobody reads cold essays.
- No stats claims you cannot screenshot. If you cite open rates or audience size, be ready
  to prove it on the first call. Better: leave numbers out of email 1 and offer them.
- One CTA per email, and it is a question, not a calendar link.
- Minimal signature: name, one-line identity, link to the real site. No banners, no
  five-line legal footer, no images (images hurt deliverability on young domains).
- Every email carries a one-line opt-out.
- Reply of ANY kind kills the sequence. Even "not interested" gets a human answer and
  no follow-up 3.

Timing:

```
Day 0   initial            -> primary contact
Day 2   escalation check   -> if primary has not replied, send intro to ALTERNATE contact
Day 3   follow-up 1        -> primary (skip if anyone at the company replied)
Day 8   follow-up 2        -> primary (last touch, skip on any reply)
```

---

## Email 1: Initial (primary contact)

Subject options (pick one, lowercase is fine):

- sponsoring [YOUR NEWSLETTER NAME]
- [THEIR PRODUCT] in front of [YOUR AUDIENCE DESCRIPTOR]
- quick one re: [THEIR COMPANY] + [YOUR NEWSLETTER NAME]

Body:

```
Hi [FIRST NAME],
I run [YOUR NEWSLETTER NAME], a newsletter for [AUDIENCE IN ONE CLAUSE, e.g. "people
building software products with AI coding agents"].
[ONE SENTENCE OF REAL FIT: why THEIR product matches YOUR readers. Specific, e.g.
"A lot of my readers deploy on [THEIR PRODUCT CATEGORY] and your launch of [SPECIFIC
FEATURE] is exactly the kind of thing they ask me about."]
I'm opening [MONTH] sponsorship slots and thought of [THEIR COMPANY] first for
[SPECIFIC REASON SLOT: a recent launch, a fit with an upcoming issue, an audience
overlap].
Worth a short chat? Happy to send audience details and pricing either way.
[YOUR FIRST NAME]
[ONE-LINE IDENTITY, e.g. "Writer, [NEWSLETTER NAME]"]
[https://yournewsletter.com]
If sponsorships aren't your area or you'd rather not hear from me, just say so and
I won't follow up.
```

---

## Email 1-alt: Initial when your best contact is senior / possibly wrong

Use when you could only find a VP/head-of and are not sure they own sponsorships.
The ask changes from "buy" to "route me".

```
Hi [FIRST NAME],
I run [YOUR NEWSLETTER NAME] ([AUDIENCE IN ONE CLAUSE]). I think [THEIR COMPANY]
would land well with my readers because [ONE SPECIFIC FIT SENTENCE].
Are you the right person for newsletter sponsorships, or could you point me to
whoever owns that? One line back is plenty.
[YOUR FIRST NAME]
[ONE-LINE IDENTITY]
[https://yournewsletter.com]
If you'd rather not hear from me, say the word and I'm gone.
```

---

## Email 2: Escalation to the alternate contact (day 2, only if primary is silent)

Sent from a DIFFERENT mailbox than email 1. Do not mention that you emailed their
colleague; it reads as surveillance. Fresh intro, slightly different angle.

```
Hi [ALT FIRST NAME],
Quick one. I write [YOUR NEWSLETTER NAME], a newsletter for [AUDIENCE IN ONE CLAUSE],
and I'm lining up sponsors for [MONTH].
[DIFFERENT FIT ANGLE THAN EMAIL 1: e.g. lead with a reader behavior, an upcoming
themed issue, or a competitor category being present in the space.]
Is sponsorship something you'd look at, or is someone else at [THEIR COMPANY] the
right owner for this?
[YOUR FIRST NAME]
[ONE-LINE IDENTITY]
[https://yournewsletter.com]
Not your thing? Reply "pass" and that's the end of it.
```

Rules: one escalation per company, ever. A reply from EITHER contact stops ALL
sequences to that company.

---

## Email 3: Follow-up 1 to primary (day 3)

Same thread (reply to your own email 1). Add one new piece of value; never "just
bumping this".

```
Hi [FIRST NAME],
One more data point in case it helps: [ONE NEW CONCRETE ITEM SLOT: a recent issue
that fits their product, a subscriber milestone you can prove, a named brand in an
adjacent category that sponsored, with permission to name them].
If [MONTH] is bad timing, [MONTH+1] is open too. Should I send the one-pager?
[YOUR FIRST NAME]
```

---

## Email 4: Follow-up 2 to primary (day 8, last touch)

Same thread. Short, zero pressure, close the loop cleanly. The clean breakup email
gets replies precisely because it asks for nothing.

```
Hi [FIRST NAME],
Last note from me on this. If newsletter sponsorship isn't a fit for [THEIR COMPANY]
right now, all good, I'll close the file.
If it ever becomes relevant, the audience details live here: [LINK TO MEDIA KIT PAGE
ON yournewsletter.com].
Thanks either way.
## Reply handling snippets
**They reply "who else sponsors?" / "send details":**
```
Great. Sending the one-pager now: [LINK]. Headline numbers: [SUBSCRIBERS] subscribers,
[OPEN RATE]% average open rate over the last [N] issues (happy to screen-share the
dashboard live). [MONTH] has [N] slots left at [PRICE]. Want to grab 20 minutes this
week, or is async easier?
```
**They reply "not interested":**
```
Understood, thanks for the straight answer. I'll close the file. If it's ever useful,
everything lives at [https://yournewsletter.com]. Good luck with [SOMETHING SPECIFIC
AND REAL ABOUT THEIR COMPANY].
```
Then mark the company as passed and never sequence them again.
**They reply "wrong person, try [NAME]":**
```
Appreciate the redirect. I'll reach out to [NAME]. Thanks [FIRST NAME].
```
New contact starts a FRESH sequence (initial, not follow-up) and inherits the
company's reply-stop state.
## Personalization prompt (paste into your agent per prospect)
```
You are writing the [ONE SENTENCE OF REAL FIT] line for a cold sponsorship email.

Newsletter: [YOUR NEWSLETTER NAME], audience: [AUDIENCE DESCRIPTION].
Prospect company: [COMPANY], product: [WHAT THEY SELL], recent news: [PASTE 1-3
BULLETS FROM THEIR BLOG/CHANGELOG/LAUNCH].

Write 3 candidate fit sentences. Constraints:
- Max 25 words each.
- Must reference ONE concrete, checkable fact from the bullets (a feature, a launch,
  a pricing change). No flattery, no "I love what you're doing".
- Must connect that fact to a specific reader behavior or reader problem.
- Plain words. No "synergy", "leverage", "align". No exclamation marks.

Output: a numbered list of the 3 sentences, then one line saying which you'd pick and
why in under 15 words.
```
